IMPORTANT — PLEASE READ CAREFULLY
When purchasing, using, or accessing the services of Core Concepts Pilates & Rehabilitation® Multidisciplinary Practice, you are entering into a legally binding agreement. These Terms & Conditions govern your membership, use of the Octiv Fitness Platform, and participation in our studio services.
By completing the electronic acceptance process, clicking “Submit” or “Accept”, using any of our services, or otherwise indicating acceptance, you confirm and represent that you are authorised to bind yourself and any other party on whose behalf you use the service and/or software, and that you agree to be bound by all of these Terms & Conditions, including the waiver of liability, disclaimer of warranty, and limitation of liability provisions, to the exclusion of any other rights or obligations.
1. Getting started: membership, Octiv, and booking credits
This section defines the essential terms for accessing our services.
- Booking Credits
- The necessary “currency” for all services, secured in advance via Octiv to book Private Sessions and Group Classes. Booking credits are strictly non-refundable, non-transferable, and non-exchangeable.
- Invoicing
- Octiv invoices are generated directly by members at the time of purchase and are not managed or corrected by the studio.
- Membership
- An Octiv profile registered to the studio, which grants access to the Octiv app. The Membership remains valid even if a package or subscription expires, allowing members to purchase new services later.
- Notifications
- With an active Membership, members receive notifications and emails (including promotional ones) related to bookings, the studio, and Octiv. Members are responsible for managing their email preferences in the user-managed Octiv app; the studio is not responsible for missed important information due to changes in these presets.
- Octiv
- Our required online booking and payment platform where members must manage their profiles and purchases. Members must keep their contact information up to date.
- Package
- An advanced purchase of a set number of Booking Credits for Private Sessions or Group Classes.
- Payment Method
- All payments are exclusively online because they link directly to your Octiv profile, preventing delays or errors. This ensures a seamless membership experience with instant receipts, easy renewals, and uninterrupted access — without extra steps. While cash may feel simple, it does not integrate with our system. Online payments are the only way to guarantee your membership is updated immediately and accurately.
- Subscription
- A fixed-term package that rewards regular practice with a lower rate and is billed monthly for the full contract duration.
Marketing Communication
By becoming a member, you are automatically opted in to receive our studio’s marketing communication. These updates are designed to keep you informed about classes, packages, and studio-relevant news. You may choose to opt out at any time via your Marketing Channel or by contacting us directly. Please note: we avoid unnecessary messaging and will not spam you — our communication is limited to important, member-relevant information only.
2. Packages and subscriptions
Access to appointments is determined by the specific package or subscription purchased. Any classes booked using an incorrect package will be corrected, as the studio reserves the right to invoice members for any fee difference.
A Package is an advanced purchase of a set number of Booking Credits for Private Sessions or Group Classes. A Subscription is a fixed-term package that rewards regular practice with a lower rate and is billed monthly for the full contract duration — the cost is not a once-off payment covering the entire term.
Types of offerings
| Offering type | Characteristics | Expiry / term | Penalty for missed class / late cancel |
| Packages (Bulk) | Once-off payment. Rewards regular practice with a lower rate. | Fixed, non-extendable expiry date. | Permanent loss of the associated Booking Credit. |
| Packages (Single Session Add-On) | Offers greater freedom and flexibility. | Non-expiring booking credits, but at a slightly higher cost. | Permanent loss of the associated Booking Credit. |
| Subscriptions | Monthly billing for the full contract duration. | Fixed-term contract. | Additional financial fee charged to associated card (see Section 4). |
Note: Young Adult packages and promotions are exclusive to individuals under 25 years old.
3. Expiry, medical procedures, and holiday requests
3.1 Medical procedures
- If you undergo a medical procedure, any available credits on your package or subscription will be refunded.
- Your package or subscription will then end immediately.
- Upon your return, you may purchase a new package or subscription that better suits your needs.
- Notice of termination must be submitted in writing to info@coreconceptspilates.co.za and must include:
- The requested termination date of the package or subscription.
- Your banking details for EFT.
- Refunds will only be processed after the termination date to allow accurate calculation of credits available.
3.2 Packages
- For holiday periods, members are encouraged to plan ahead by purchasing only what can be used in the available time, or by using booking credits prior to departure.
- Packages carry a fixed, non-extendable expiry date.
- Packages cannot be paused or frozen.
- All unused credits will expire at midnight on the stated expiry date.
3.3 Subscriptions
- Subscription class credits are offered at a significantly reduced rate.
- Subscriptions cannot be paused or frozen.
- Payments are automatically processed on the 1st of each month.
- A two-calendar-month notice period is required to end a subscription. Example: if notice is given on 2 July, the subscription will end on 30 September.
- Notice of termination must be submitted in writing to info@coreconceptspilates.co.za and must include the requested termination date of the subscription.
4. Cancellations and penalties
All bookings are paid in advance.
4.1 Cancellation thresholds
To avoid a penalty, cancellation must occur before the following cut-off times:
- Private Sessions: 6 hours in advance.
- Reformer Group Classes: peak-time classes 12 hours in advance; all other classes 6 hours in advance.
- Chair and/or Mat Pilates Group Classes: 30 minutes in advance.
When cancelling after the threshold, Octiv will display a notice. Proceeding with cancellation will result in the loss of the associated Booking Credit or the applicable late-cancellation fee.
4.2 Penalties for missed appointments
There is a distinction in penalties based on the type of offering purchased:
| Offering type | Missed appointment / late cancellation | Penalty fee |
| Packages (all types) | Missed or unattended appointments, including late cancellations, result in the permanent loss of the associated Booking Credit. | Booking Credit forfeited. |
| Subscriptions (Limited Credits) | Missed or unattended appointments, including late cancellations, result in the permanent loss of the associated Booking Credit. | Permanent loss of the associated Booking Credit. |
5. Financial and administrative policies
5.1 Early contract upgrade policy
- All contract packages are fixed-term and must be completed in full; instalments cannot be skipped, cancelled, or refunded.
- Members can upgrade early to a higher-value package by immediately beginning payment of the new package rate.
- Members will enjoy upgraded access right away, but the new package term officially commences only once the current package has expired.
5.2 Fee adjustments
- Membership fees are reviewed annually (most recent adjustment: 1 June 2026).
- Subscriptions on fixed-term contracts retain their agreed rate until the annual adjustment date. Updated rates will apply automatically to the next invoice issued after the adjustment.
5.3 Administrative requests
- All administrative requests — including account, booking, and finance queries — must be submitted in writing via info@coreconceptspilates.co.za or the studio’s official WhatsApp Text Channel: +27 72 738 8051. This ensures accurate record-keeping and timely responses.
- Therapeutic communication with therapists is encouraged, but they cannot handle administrative queries.
